Please read them carefully, as they are designed to protect both our valued guests and our company while ensuring transparency and trust.
1. Booking & Payment
- A booking is considered confirmed only upon receipt of full or partial payment as agreed in writing.
- Prices are quoted in United States Dollars (USD) and are subject to adjustment in the event of currency fluctuations, tax changes, or increases in supplier costs.
- Full payment is typically required before the commencement of your safari unless alternative arrangements are made in writing and confirmed by Queen of East Africa Luxury Tours.
2. Travel Documents & Insurance
- It is the traveler’s responsibility to ensure that all required documents (valid passports, visas, vaccination certificates, health documents) are obtained in advance of travel.
- We strongly recommend that all guests purchase comprehensive travel insurance covering medical needs, trip cancellations, delays, and loss of personal belongings.
3. Health & Safety
- Guests are required to disclose any medical conditions, dietary requirements, or special needs at the time of booking so that appropriate arrangements may be made.
- Participation in activities such as game drives, gorilla trekking, hot-air ballooning, or cultural experiences involves inherent adventure travel risks. Guests agree to follow all safety guidance provided by guides, rangers, and service providers.
4. Changes & Cancellations
- Any requested changes to a confirmed booking must be submitted in writing and may be subject to additional fees or supplier charges.
- In the event of cancellation by the guest, applicable refunds or penalties will be outlined in our Refund & Cancellation Policy.
- Should Queen of East Africa Luxury Tours be required to cancel a booking due to unforeseen circumstances, we will provide alternative arrangements of equal value where possible or issue a refund in accordance with our Refund Policy.
5. Third-Party Providers
- To curate a seamless and memorable experience, Queen of East Africa Luxury Tours partners with carefully vetted third-party providers, including lodges, hotels, airlines, transportation companies, and activity operators.
- While every effort is made to ensure the highest standards of service, these providers operate independently. Queen of East Africa Luxury Tours cannot accept liability for the performance, reliability, or safety of such third-party services, though we will provide reasonable assistance should an issue arise.
6. Limitation of Liability
Queen of East Africa Luxury Tours, its team, and its partners shall not be held liable for any loss, injury, damage, delay, or inconvenience arising from circumstances beyond our direct control, including but not limited to:
- Natural disasters or adverse weather conditions
- Strikes, civil unrest, or political events
- Flight delays, cancellations, or schedule changes
- Acts of wildlife or nature
While we cannot assume liability in such cases, our team will always endeavor to provide support and assistance to minimize disruption to your journey.
