Refund & Flexible Booking Policy
At Queen of East Africa Luxury Tours, we take pride in designing seamless and memorable journeys. We also understand that circumstances beyond your control may affect your travel plans. This policy balances flexibility for our valued guests with the realities of bespoke arrangements reserved on your behalf.
1. Cancellations by Guests
- More than 30 days before travel: Full refund minus a 5% administrative fee.
- 15–30 days before travel: 50% refund of the total booking amount.
- 14 days or less before travel: No refund will be provided.
- Flexible Credit Option: If unforeseen circumstances beyond your control prevent travel, you may cancel up to 60 days before departure and receive a non-transferable, non-refundable credit toward future travel. Credits must be used within 12 months of issue for journeys commencing within 12 months of the new booking date.
2. Postponements
- You may postpone your booking up to 21 days before departure for reasons outside your control, either at home or in your destination.
- Where partners (lodges, airlines, activity providers) do not allow postponements, any charges they apply — along with costs already incurred by Queen of East Africa Luxury Tours — will be passed on.
- Within 21 days of departure, standard cancellation terms will apply.
3. Cancellations by Queen of East Africa Luxury Tours
If we must cancel a booking due to unforeseen circumstances (such as extreme weather, political unrest, or unavailability of key services), guests will receive either:
- A 100% refund, or
- A credit toward future travel of equal value.
4. Force Majeure
We cannot accept liability or provide refunds where cancellations, interruptions, or changes are caused by circumstances beyond our reasonable control, including but not limited to:
- Natural disasters or extreme weather conditions
- Political unrest or government restrictions
- Public health emergencies (including pandemics)
- Airline or supplier disruptions
- Acts of wildlife or nature
In such cases, we will endeavor to assist with rebooking or alternative arrangements.
5. No-Show Policy
Guests who fail to arrive on the scheduled date without prior notice will not be eligible for a refund.
6. Balance Payments
- Final balances are due 60 days before departure unless otherwise agreed in writing.
- Failure to pay the balance without providing notice of postponement or cancellation will result in cancellation under standard terms.
7. Refund Processing
- Approved refunds will be processed within 10–14 business days.
- Refunds will be credited to the original payment method.
